Service with Advanced Execution (SwAE) in SAP S/4HANA
Service with Advanced Execution (SwAE) is the SAP S/4HANA process that joins the commercial side of service — contracts, quotations, orders — with the planning and execution power of maintenance. Introduced with S/4HANA 2023, it is built for services on complex assets or long-running engagements with multiple billing cycles, where a simple service order is not enough.
The core idea
In SwAE, each billable service line on a service quotation or order is an execution order item, and every execution order item automatically creates a corresponding maintenance order. The commercial document handles what is sold and how it is billed; the maintenance order handles how the work is actually planned, scheduled, and executed. That bridge — commerce on one side, maintenance execution on the other — is the whole point of SwAE.
The process flow
A typical SwAE flow runs:
- Service contract (optional) — defines the terms, coverage, and price agreements (see service contracts).
- Service quotation / service order — created with or without reference to a contract; this is where execution order items are entered.
- Execution order items → maintenance orders — each item spawns a maintenance order for planning and execution.
- Execution — the work is planned, scheduled, and confirmed through standard maintenance (operations, materials, completion confirmations).
- Billing — closed out with fixed-price and/or resource-related billing based on what was actually consumed.
When to use it
SwAE earns its place where service needs extensive planning and longer execution times and where the commercial and execution worlds must stay in sync — complex installed-base assets, multi-visit jobs, contracts with several billing cycles. For quick, transactional service a plain service order is lighter; SwAE is the heavier, integrated process for the complex cases.
Why it matters
Before SwAE, the commercial service document and the maintenance execution often lived apart, forcing manual reconciliation between what was sold and what was done. SwAE makes the link structural: the maintenance order is generated from the commercial item, execution actuals flow back, and billing reflects reality. The result is one connected thread from contract to invoice, with maintenance-grade planning in the middle.
Common questions
What is an execution order item? A billable item on a service quotation or order that automatically creates a corresponding maintenance order for planning and execution.
Does SwAE need a service contract? No — a service order can run with or without a contract reference; the contract, when used, supplies the terms and pricing.
How is SwAE billed? With individual/fixed billing and/or resource-related billing (via the DIP profile) based on the actual labour, parts, and costs recorded.
